[Tech Blog] Setting up Gmail pop-3 access

Though people might find it strange to see tech stuff related blog entry on a photography website, I thought it would be helpful for all my photog friends who have multiple mail accounts to manage and who also have a gmail account for their day 2 day transactions. POP3 access basically helps us in accessing mails from different source like our website mail ids etc to be able to accessed via a mail client which allows POP3 access.

I shall try to keep it as simple as possible to ensure even the non techie guys can understand it.

a. Login to both gmail and your other mail account which you need to pull to your gmail (eg say my [email protected] mail box)
b. In gmail click on setting link on top right followed by Accounts and Import tab
c. In this screen you should be able to see “Check mail using POP3:”
d. Here click on the button “Add POP3 mail account”
e. In the pop up window enter the mail id corresponding to which you want to get the mails from and click on next step.
f. Enter the following
Username : Your complete mail id (eg [email protected])
Password : Password corresponding to your mail
Click on “Leave a copy of the retrieved message on the server”
If you require click on “Label incoming messages”
Click on Add Account
Once the pop up closes you should be able to see an entry in the “Check mail using POP3:” section and after while after the first setup you should be able to see all the mails coming into your gmail account.

To ensure that you are able to reply back from the same mail id to which your mail was sent you need to do one more setup.

a. Login to both gmail and your other mail account which you need to pull to your gmail (eg say my [email protected] mail box)
b. In gmail click on setting link on top right followed by Accounts and Import tab
c. In this screen you should be able to see “Send mail as:”
d. Here click on the button “Send mail from another address”
e. Enter the following
Name : Name you want to be displayed in FROM field for your recepient
Email Address : Mail id from which you want send mail as
f. In the next screen let the radio button be selected with respect to “Send through Gmail (easier to set up)” and click on Next Step
g. Click on send Verification in next screen.
h. You will now be recieving a code to your mail which you have added to gmail for sending mail as. Access the mail and copy the verification code and paste it in the Verification code box and click on Verify – and its all done !

In the “Send mail as:” you should now be able to see the mail id that you have added. Preferably select the default as your gmail id itself.
Condition 01: If you are typing a new mail, just select the mail id that you have added using the dropdown box above the TO field in the compose screen.
Condition 02: If you are replying to a mail which you have set up POP3 access for you should be able to see that you are replying from the correct id itself.

PS: I have not tried it across with all combinations of server types so please do check with your website / mail service provider before setting up POP3 access.
